StationTag
Getting started
StationTag replaces the paper inspection binder. Every piece of gear gets a QR tag; scan it, run the checklist, and your whole department can see what's in service, what needs attention, and what's overdue. Setting up a department takes about half an hour, and most of that is entering your equipment.
Who can do what
| Role | What they can do |
| Firefighter | Scan tags, view an item's history, and log inspections. |
| Officer | Everything a firefighter can, plus add, edit, and remove equipment, print tags, and mark repairs done. |
| Admin | Everything an officer can, plus invite people, change roles, and manage the subscription. |
Set up your department (admin)
1Create the department
On the login screen, tap New department? Create one. Enter the department name, your name, an email, and a password. You become its admin.
You'll then be asked to subscribe. The subscription starts with a 1-month free trial, and your card is charged after the trial, not today. You can manage or cancel it any time from the account menu under Billing.
2Add your equipment
Tap New Tag at the bottom of the screen and fill in:
- Equipment name and Type (SCBA, SCBA air bottle, extinguisher, hydraulic tool, hose, rescue tools, ladder, PPE / turnout gear, EMS equipment, or apparatus).
- Assigned unit, location, serial number, and year purchased.
- Inspection recurrence: every 30, 60, 90, 180, or 365 days, or a custom number of days.
Cabinets and compartments. For loose gear you can't put a tag on (hose fittings, small tools), create a tag with the type Compartment / Cabinet and assign it to the apparatus. Under What's inside, type one checklist item per line, like "Spanner wrench ×2". Stick the QR label on the cabinet door; scanning it opens that cabinet's own checklist. You can edit the list any time under Edit / remove equipment, copy the list from another cabinet (handy for matching rigs), and past inspections keep the wording they were done against.
Each type has its own checklist, so an SCBA pack and a fire extinguisher get different questions. Add your apparatus (engine, tanker, rescue, ladder, EMS vehicle) first so you can assign everything else to it.
3Print and stick the tags
Tap Generate QR tag, then Print tag label. This opens your phone's normal print screen, so it works with any printer or label printer your phone can print to. Stick the label somewhere that stays clean and readable on the gear or its case.
Lost or damaged a tag? Open the item and choose Replace QR tag to print a new one. The history stays with the equipment.
4Invite your crew
- Tap the profile icon at the top right of the home screen, then Team.
- Under Invite someone, enter their email, choose a role (Firefighter, Officer, or Admin), and optionally a unit. Tap Send invite.
- They get an email with a link. Tapping it lets them set their name and password. The link expires after 7 days.
Each person logs in with their own account, so every inspection is recorded under the name of the person who did it.
Run an inspection (everyone)
Inspect one item
- Tap Scan equipment tag and point the camera at the QR tag. Camera not working or tag unreadable? Use Simulate scan (no camera) to pick the item instead.
- You'll see the item's status and its past inspections, including who did each one. Tap Log inspection.
- Choose Routine or Post-Use, check the date, and work through the checklist. Add notes if you want.
- Pick Pass or Fail and tap Submit inspection.
On a fail you can also tick Repair needed to track it until it's fixed. For apparatus you can choose to remove it from service; otherwise it stays in service, flagged as needing attention.
Inspect a whole vehicle at once
Tap Inspect a vehicle, choose the rig, and every piece of equipment assigned to it lines up for one pass, with no need to scan each item separately.
No signal? Keep going
Inspections you log offline are saved on your phone and sent automatically when you're back online. A banner at the top shows how many are waiting.
Stay on top of it (officers and admins)
- Needs attention on the home screen lists overdue and failed equipment first.
- Repairs (profile icon, then Repairs) lists everything flagged as needing repair. When it's fixed, tap Mark repaired and enter the cost to keep a running record of upkeep spending.
- Inventory lists every item. Search by name, asset ID, or unit, or filter to Needs attention.
- Coming due on the home screen lists SCBA flow tests, hydrostatic tests, and end-of-service-life dates that are overdue or due in the next 30 days. To track one, add its date when you create the tag, or later under Edit / remove equipment: the last flow test for SCBA packs, the last hydro test for packs and air bottles, and the manufacture date for air bottles and turnout gear. By default a flow test is due a year after the last one, a hydro test after 5 years, and air bottles and turnout gear retire at 15 and 10 years old. Check those against your manufacturer's guidance and your department's policy.
- Reminders (profile icon, then Reminders) lets each officer and admin choose an email digest of what's coming due: every day, week, or month, or off. You pick how far ahead it looks (7 to 60 days). Nothing is sent when nothing is due.
- Reports (profile icon, then Reports) emails you a formatted Excel spreadsheet for audits and budget requests. It opens with a summary sheet, then the detail: Inspection history for a date range (who inspected what, pass or fail, failed items, and notes), the full Equipment list with a section for each apparatus (the rig, then everything assigned to it) and a final section for unassigned equipment, with overdue items highlighted, or Repairs and costs with totals. It opens in Excel, Google Sheets, or Numbers.
- To change or remove an item, open it and choose Edit / remove equipment. Removing an item hides it from the dashboard and scans but keeps its inspection history for the record.
